MAIN PURPOSES
The Supply AKIBA Support Officer provides functional support and second-line assistance for the supply chain information system, contributing to consistent system use, data quality, and the continuous improvement of supply processes across missions. The role supports the AKIBA Support advisors in ensuring efficient and reliable supply chain operations in the field.
JOB OVERVIEW
This role provides functional support on the Supply Chain Software to operations (field missions and Cells), ensuring proper use and day-to-day functioning of the organization’s supply chain information system. The role supports the AKIBA Supply Chain/MSM Advisors and acts as a point of contact between field operations, MST Supply, MSM Referents and technical teams, assisting in resolving functional issues and promoting harmonized ways of working across missions.
By supporting system reliability, data consistency, appropriate use of the item catalogue, and user adherence to processes, the position contributes to efficient planning, procurement, and supply chain operations that enable timely and effective program delivery.
TASKS/RESPONSIBILITIES
- Support the maintenance of supply chain processes and procedures related to AKIBA by assisting in updates, documenting changes, and ensuring alignment with existing guidelines and standards.
- Assist in the deployment and rollout of AKIBA in projects and missions by supporting user onboarding, preparing materials, and following up on adoption at field level.
- Provide first- and second-line functional support to users by logging and managing tickets, troubleshooting standard issues, escalating complex problems, and ensuring follow-up with users until resolution.
- Support the implementation of new system functionalities and modules by participating in testing activities (UAT), collecting user feedback, and reporting issues or improvement needs.
- Assist in monitoring data quality and consistency in AKIBA by running checks, identifying discrepancies, preparing basic reports, and flagging issues to relevant stakeholders.
- Support the maintenance of the item catalogue by updating records, ensuring data accuracy, and coordinating with relevant teams (e.g., Spinco) for alignment.
- Contribute to the development and dissemination of documentation and training materials by updating user guides, preparing training content, and supporting training sessions when required.
- Assist in continuous improvement initiatives by collecting user feedback, identifying recurring issues, and supporting small-scale process optimization activities under supervision.
SELECTION CRITERIA
- University degree in Pharmacy, Supply Chain Management, Enterprise Resource Planning (ERP), Information Systems Management, or a related field.
- Proven experience in ERP implementation, deployment or support is mandatory.
- Previous field experience with Médecins Sans Frontières (MSF) as a Pharmacist (Pharma Co/Mission Pharma) or in Supply Chain functions is mandatory.
- Strong understanding of supply chain processes, including demand planning, procurement, inventory management and distribution.
- Experience in Business Process Management (BPM) is required. Knowledge of ERP systems (ideally AKIBA or similar), functional testing (UAT), system deployment, data quality management, master data governance, and process optimization will be considered an asset.
- Fluency in English (written and spoken) is required. French and Spanish will be considered an asset.
- Knowledge of MSF operational policies, procedures and field operations is highly desirable.
CONDITIONS
- Position based in any MSF office in Spain (Barcelona, Bilbao, Madrid or Sevilla).
- For level HQ-2C positions and if the role is based in one of our offices in Spain, the salary will be at €34,324.19.
- Full-time job.
- Contract duration: Until 31 Dec 2026 with possibility to be reconducted for 2027.
- Starting date: 01/09/2026.
