GENERAL CONTEXT
Médecins Sans Frontières is an international independent medical-humanitarian organization, which offers assistance to populations in distress, to victims of natural or man-made disasters and to victims of armed conflict, without discrimination and irrespective of race, religion, creed or political affiliation.
GENERAL OBJECTIVE
- Ensure a proper running of MSF OCBA Fundraising Applications and Websites. This includes software administration management, deployment management, user and access management, licensing management, integration management and database management, corrective management and limited-size change management, among others.
- Manage and prioritize tactical demand for small sized change management together with the Head of Applications Unit according to the IT strategic plan and MSF OCBA priorities to ensure that demand is aligned with both, business, and IT and to guarantee transparency, accountability and compliance with the rules of MSF OCBA.
- Work in collaboration with the Fundraising Applications Evolution Manager to ensure compliance and continuity of common processes and a smooth handover, with other Projects&IT office team coordinators, with internal clients and key stakeholders from other Departments to ensure OCBA IT Fundraising Applications and Websites function effectively based on the needs of the users and the organization.
The technologies and solutions that will be coordinated by the Fundraising Applications & Websites Operation Manager will be focused on Salesforce and Websites Management, and a whole ecosystem of applications supporting them, related to data base management, integrations, payment solutions, marketing and automated campaigns, among others that might dynamically change based on organizational needs.
The Fundraising Applications & Websites Operation Manager will work within the Projects & IT Office team, and s/he will be hierarchically and functionally accountable to the Head of Applications Unit.
MAIN FUNCTIONS, RESPONSIBILITIES AND TASKS
- Manage solutions run & maintenance
- Coordinate the maintenance and monitoring of Fundraising Applications ecosystem and Web solutions under his/her responsibility, ensuring a reliable and effective operation of the MSF OCBA software portfolio under his/her responsibility.
- Manage evolutions and improvements of software developments and infrastructure of websites, applying waterfall and agile methodologies and managing demand priorities together with internal stakeholders and Head of Applications.
- Participate in IT projects, contributing to the definition of requirements and solution designs and identifying specific needs related to Fundraising Applications and Websites ecosystem infrastructure and operation, cooperating and/or coordinating the necessary tasks as well for their technical implementation and deployment. This includes release and continuous integration management.
- Coordinate and ensure, with internal teams and/or external partners, an appropriate execution of the different activities, technical support, maintenance and in the context of different projects of the area, according to the guidance of the Head of Applications and MSF OCBA relevant procedures. This includes monitoring and guiding the team under his/her responsibility and advising other teams as necessary application maintenance related questions and setups.
- Support the Head of Application and Fundraising Applications Evolution Manager on the definition of policies, procedures, processes, and standards, and assure they are correctly documented, updated and followed in MSF OCBA.
- Manage and ensure the implementation and continuous delivery IT security operations activities and improvements, following the strategies, processes and procedures established by the Information Security Unit.
- Identify areas of improvements in the existing processes of the organization when monitoring and reviewing them, seeking to ensure the continuous improvement of the business and technical processes in the supporting solutions.
- Manage software development lifecycle
- Apply standard frameworks, IT good practices and software development lifecycle, such as ensuring the procedures both logically and in different physical environments (development, integration, production) is followed.
- Team management
- Coordinate the activities of the team of technicians under his/her supervision technicians (internal and external).
- Manage and ensure the provision of relevant trainings to the Fundraising Applications & Websites team.
- Manage suppliers & third parties – budget, contracts, invoices, SLA-
- Coordinate that the delivery of the activities provided by external providers and activities in the area under his/her responsibility, meet the agreed quality, time and cost.
- Coordinate external service providers to guarantee the systems work and incidences are solved seeking to guarantee business needs.
- Coordinate the new or renew of contracts, following procurement processes and P&IT strategies, which may include tender processes.
- Monitor the compliance of contractually agreed terms with the outsourcer upon KPIs and SLAs, including contract and invoice management.
- Manage stakeholders
- Build a relationship based in trust with stakeholders, supported by a methodology orientation in service management, according to the guidance of the Head of Applications.
- Contribute to the sharing of knowledge to the organization in the areas under his/her responsibility.
- Provide users with solutions related to the area with a proactive approach that responds to their needs in the best possible way.
- Control & reporting
- Provide the status of work in progress and/or issues related to the Head of Applications, working with key metrics, KPIs and trends, in the context of OCBA Fundraising Applications & Websites Operation area.
- Analyse and monitor the development of the processes and procedures defined based on the improvement, monitoring and follow-up plans approved by the Management Team to help fulfil the principles of efficacy, integration and quality.
- Tasks related to Web solutions will be undertaken potentially on a temporary basis.
SELECTION CRITERIA
- Academic background: Computer Science, Industrial Engineering, Business Administration and Management or similar.
- 4 years’ experience in coordination of activities within a multinational and multicultural setting.
- 4 years’ experience in Fundraising application maintenance services or projects.(Salesforce, Marketing Cloud, Payment Gatheways).
- 4 years` experience in Web solutions maintenance or projects(Drupal, Wordpress).
- Experience with services management.
- Experience in managing technology providers including negotiation, monitoring service delivery and addressing vendor performance issues.
- Desirable knowledge of best practices frameworks and standard methodologies: ITIL, COBIT, SCRUM, Agile, PRINCE2, LeanIT.
- Fluent in Spanish and English.
- Good command of Microsoft Office and/or Open Office, Microsoft Project, Microsoft Visio.
- Good command of one of the solutions in the team portfolio, and good understanding of the whole portfolio, especially Salesforce and related technologies.
- Knowledge of Software Development Lifecycle methodologies and best practices.
- Knowledge of Enterprise Architectures is an asset.
- Experience in Information Security is an asset.
- Previous experience with MSF is an asset.
CONDITIONS
- Permanent position based in Barcelona–Spain, at the Médecins Sans Frontières Spain Headquarters.
- Full time job.
- Permanent position with a minimum commitment with the position of 3 years.
- Annual gross salary: HQ-4A level 44,250 gross euros (divided into twelve monthly payments) + Secondary Benefits based on the MSF-OCBA Reward Policy.
- Starting date: March 2025.
