MAIN PURPOSES  

Strengthen the Finance Department’s capacity to manage, structure, and use financial information by ensuring reliable knowledge systems, efficient reporting processes, and improved information accessibility. The role enables informed decision-making through well-governed data, streamlined reporting, and digital innovation. 

 

JOB OVERVIEW 

The Finance Knowledge and Information Management Officer ensures the organization, governance, and accessibility of finance knowledge and data across the department. The role manages SharePoint environments, document repositories, and policy registers while coordinating key reporting cycles and supporting management outputs. It drives improvements in workflows through automation and digital tools (including Microsoft 365), promotes good information management practices, and supports learning and knowledge-sharing initiatives. Additionally, it contributes to internal communication and departmental coordination, ensuring that finance information is structured, reliable, and accessible to stakeholders. 

 

TASKS/RESPONSIBILITIES 

  • Maintain and optimize the Finance SharePoint environment to ensure structured, accessible, and user-friendly information management.  
  • Define and enforce information governance standards (naming, archiving, access rights) to ensure consistency and compliance.  
  • Coordinate the production of finance reports and presentations to deliver accurate, timely, and structured outputs.  
  • Consolidate and manage finance knowledge repositories to preserve institutional memory and enable efficient retrieval.  
  • Identify and implement automation solutions to streamline workflows and reduce manual workload.  
  • Promote adoption of digital tools and ensure users effectively utilize systems and processes.  
  • Support learning and knowledge-sharing initiatives to enhance organizational capability and information use.  
  • Facilitate departmental coordination and communication, ensuring documentation, decisions, and outputs are properly captured and accessible. 

 

ROLE´S SPECIFIC ELEMENTS 

  • Management of SharePoint, document repositories, and knowledge platforms 
  • Coordination of reporting cycles and management presentations 
  • Development of automation solutions using Microsoft 365 (e.g., Power Automate, Lists, workflows) 
  • Support for AI-enabled tools in information analysis and retrieval (aligned with data protection and confidentiality standards) 
  • Contribution to finance learning, internal communication, and knowledge-sharing practices 
  • Administrative support to grants and internal finance processes (when delegated) 

 

SELECTION CRITERIA 

  • University degree in Business Administration, Economics, Finance, Information Management, Knowledge Management, Data Analytics, Business Analytics, Digital Transformation or a related field. 
  • Minimum of 3 years of professional experience in information management, reporting coordination, data analysis, or digital process improvement. 
  • Proven experience using SharePoint or other knowledge management systems, coordinating reports and stakeholder inputs, and handling confidential information. 
  • Strong knowledge of Microsoft 365, particularly SharePoint, Teams and Excel, as well as information governance, data structuring, reporting and process improvement. 
  • Experience with Power Platform (Power BI, Power Automate), ERP/CRM systems, or finance/reporting environments will be considered an asset. 
  • Previous experience with Médecins Sans Frontières (MSF) or another humanitarian or non-profit organization will be considered an asset. 
  • Fluency in English (written and spoken) is required. Spanish and/or French will be considered an asset. 

 

CONDITIONS 

  • MSF-OCBA supports flexible ways of working, including teleworking and flexible schedules, while operating in a dynamic and demanding humanitarian environment 
  • Position based in Barcelona or Nairobi MSF-OCBA Hub.  
  • Final location will be subject to the employability of the preselected candidate (e.g., residency, work permit, etc.).  
  • Full-time job. 
  • For level HQ-3B positions and if the role is based in one of our offices in Spain, the salary will be at €41,137.24. If the role is finally located at one of the OCBA regional hubs, compensation will be subject to the local pay scale applicable to that hub.    
  • Duration of position: 12 months. Replacement position for the duration of the staff member’s temporary assignment. Could be extended if conditions allows or in case knowledge transmission required 
  • Starting date: 01/10/2026
